Ask the guide
Ask the guide answers questions about using theopsroom, such as “How do I book a courier for a Shopify order?” or “Why can’t I publish to TikTok?”. It reads this guide and puts the answer together for you: a short summary, the steps, the guide’s pictures, and links to the pages it used.
- In theopsroom, press Ask at the top of any page (on a phone, the sparkle button). Or type your question in Ask a question… at the top of this guide and press Ask: theopsroom opens in a new tab (sign in first if asked).
- Type your question and press Ask (or Enter). After a few seconds you see the answer.
- Ask a follow-up if you need to, for example “and if it fails?”. Ask remembers the conversation, up to 10 questions unless an admin set another number. Then press Start a new conversation.
The conversation stays while you use theopsroom in this browser tab: open an order from a table, then press Ask again and your questions and answers are still there. Press New conversation to start afresh. Signing out clears it.
Questions about your own data
Section titled “Questions about your own data”Ask can also look things up in your own theopsroom data and show the result as a table:
- Orders: “List my new orders by shop”, “Which orders did buyers ask to cancel?”, “Orders on korin.sg this week”, “Which order is the most expensive?”, “COD orders with KR-SERUM-30”, “Orders past their ship-by time”, “How much did I sell on Shopee last week?”, “Orders per day this month”, “Which product was in the most orders?”. You can ask by item, courier, tracking number, COD or prepaid, buyer’s city, amount, ship-by time, status, exceptions, replacements and gifts.
- Stock: “How much KR-SERUM-30 is left?”, “What’s running low?”, “Show my top 5 products” (best sellers over the last 30 days; say “most stock” to rank by what’s on the shelves). “First 5” or “top 10” works in every area.
- Returns: “Which returns are waiting for my decision?”.
- Invoices: “Which invoices are unpaid?”, “My invoices for September”.
- Listings: “Which listings were rejected?”, “What has changes to push?”.
The answer has a one-line summary, a table of up to 50 rows, and Open these in … to see them all on the page. Click an order number, SKU, return, invoice or product in the table to open it.
Ask only reads your data; it never changes anything. You see only what you could already see in theopsroom: a seller sees their own shops, and staff and admins see every seller’s. One lookup per question.
The AI that writes the summary only gets counts and totals (for example “23 orders: 12 Shopee, 8 Lazada”), never your orders, buyers’ names or addresses. Sales amounts go to it only as totals over two or more orders, and SKUs and buyers’ cities only appear in the table. The table comes straight from theopsroom.
If theopsroom can’t match part of the question (a shop name it doesn’t know, say), it shows what it can and says what it left out, for example by saying the app has no shop with that name and showing all your shops instead.
What it can and can’t answer
Section titled “What it can and can’t answer”- How-to questions come only from this guide, and only from the pages for your role. A seller is never told about admin or warehouse-only screens.
- Data questions cover the five areas above. It can’t yet combine two (orders and stock in one question), draw charts, or download results.
- When the guide doesn’t cover something, it says “The guide doesn’t cover this yet.” and suggests pages that may help. Admins see these questions, so they can add what’s missing.
Limits
Section titled “Limits”Each person can ask a number of questions a day (30 unless an admin changed it). The panel shows how many you have left. Answers that fail don’t count.
If something goes wrong
Section titled “If something goes wrong”| What you see | What to do |
|---|---|
| You’ve asked 30 questions today. Ask again tomorrow, or browse the guide. | Use the guide’s pages until tomorrow, or ask an admin for a higher limit. |
| Couldn’t get an answer — try again | The answer service didn’t reply. Ask again in a moment. |
| Ask is unavailable right now — browse the guide instead | theopsroom couldn’t read the guide. Use the guide’s pages for now. |
| Ask isn’t set up | Ask is switched off for your company. Ask an admin. |
For admins
Section titled “For admins”Settings → Ask the guide sets how many questions each person may ask a day and how many fit in one conversation (5 to 50), and lists the questions people asked, “Not in the guide” first, with filters by role, client and date, the most-used pages, and Export CSV. To give one person more or fewer, use Ask limit on their row in Users.
Sellers’ questions are kept for later analysis. Staff and admin questions are deleted after 90 days. Answers aren’t stored.
